How Many Rx Labels Does Your Pharmacy Use? A Monthly Ordering Guide

Running out of Rx labels stops the fill line, and ordering too many ties up cash and shelf space. You can estimate monthly use from numbers you already have, then turn that into cases or cartons.

Step 1: Start with prescriptions per day

Most pharmacy systems print one label form for each filled prescription. Your pharmacy software or daily reports show how many prescriptions you fill on an average business day. Reprints, voided labels and test prints add to that, so add a small buffer.

Step 2: Do the math

Labels per month ≈ prescriptions per day × business days per month × (1 + buffer)

Here's an example with made-up numbers. Use your own. A pharmacy that fills 150 prescriptions a day, open 22 business days a month, with a 5% buffer:

150 × 22 = 3,300 labels, plus 5% = about 3,465 labels per month.

Step 3: Convert to cases or cartons

Thermal: ZB & CB Direct Thermal

ZB & CB Direct Thermal is sold by the full case: 18 rolls of 320 labels, or 5,760 labels per case, for $294.30 with free freight (about $51 per 1,000 labels).

In the example, one case lasts about 1.7 months (5,760 ÷ 3,465).

Laser: LP, LT, LX and LR

Laser labels are sold by the carton of 1,000. In the example, that's about 4 cartons a month (3,465 ÷ 1,000, rounded up). Laser orders of 30,000+ labels (30 cartons) ship free. Smaller laser orders may include freight, which we'll confirm. At 30 cartons, the bank (ACH) totals are:

Card payments are 3% higher than these bank (ACH) prices, for both credit and debit cards.

Step 4: Set a reorder point

Stock items usually ship within a few business days after payment clears, and bank (ACH) payments usually take 3–5 business days to settle. Leave room for both, plus transit time, when you decide how much stock to keep on hand before you reorder. Keep thermal stock away from prolonged heat and strong light while it's in storage.
